Version 3.040
The following changes / additions have been implemented into GA3 including an overhaul of the account payments section and expense payment system.
The customer accounts section has been re-designed in an effort to make it easier to use, more intuitive and more flexible. Whilst it may look a little different, it should now be much easier to follow and understand.
Changes to the account manager screens include:
1. | It now shows payments / invoices in their own list's
|
2. | You can now either fully assign a payment (as before) or partially assign a payment to an invoice.
|
3. | You can now be more specific as to which payment (or credit note) is for which invoice, i.e selecting payment 100 and allocating it to invoice 5555, this was difficult in the previous versions especially if more than 1 payment was awaiting allocation.
|
4. | Undo functionality is now vastly improved. You can undo payments individually from each invoice it was allocated to, or as the previous version, undo the entire payment.
|
5. | Selecting a payment or invoice will show (as previously) what if anything it has allocated, we have expanded this to add a small green highlight next to the relevant documents directly in the list view, making it much easier to see.
|
6. | You can now print a payment advice sheet anytime you want by selecting a payment and choosing the 'print payment advice option'
|
7. | The overhaul also includes some major performance increases, such as no more waiting for it to check all records when you close out of the screen, Lists should be more responsive i.e when scrolling up / down etc.
|
Additional Fixes / Changes / Additions
1. | Fixes to the date and time calculations for the V4 Beta Calendar.
This should resolve issues where the end date / time ended up with a ? causing the appointment to not display.

2. | Fixes to the V4 beta calendar when an appointment spans more than one day, but the end time is before the starting time, ie Monday 2pm to Tuesday 10am. (previously appointments would not show on Tuesday)

13. | Added additional error checking to SMS / Email reminders, if they fail you can now view / resend the failures.

Version 3.037
This is a small maintenance update with a few fixes and additions:
1. | Fixed 'repeat sage export' expenses issue, where payments where not being repeated properly.

For Online Booking Users:
The online booking sync will be turned off afte running an import / update.
This is to help prevent possible issues, such as if you where to take your data home or give it to your accountant for review.
If a sync takes place the new bookings will only be on this copy of the data and not on your main system.
If you have no intentions of restoring the data back to your main system, there will be no way to re-download these appointments.
A sync on/off button has been added to the login screen to allow this to be turned on easily.
Version 3.036
This is a small maintenance update with a few fixes listed below based on user feedback over the xmas period.
21. | Reminder Status colours have been changed to Red = Expired, Orange = Due Shortly, Green = Due In Future.

22. | Adjustments have been made on the document screens to show the reminder status and new colours.
|
23. | The reminder set screen now shows the status more prominently, with the option to clear the last sent date.
|
24. | Perform mailshot should now work properly for each type. i.e due / expired will perform the mailshot as normal, but previously sent lists will not reset / reschedule dates etc.
|
25. | It should now return to the correct 'list view' after performing a single mailshot.
|
26. | The list in view is now reflected in header section, i.e Found x Previously Sent Reminders.
|
27. | An option has been added to the setup wizard to allow you to include (or not) expired reminders within a mailshot. By default this will be set to NO, so if you want reminders which have a date in the past to still send, set to Yes

28. | The required templates should now generate correctly and correct any issues caused from previous versions.

29. | The new calendar's text colour should now change between black / white correctly, depending on the background colour chosen.

Version 3.035
This is a small maintenance update with a few fixes listed below based on user feedback over the last few days.
31. | Mail shot's where not clearing correctly after performing the mail shot, this affected all but MOT reminders

32. | Performing a 'single' mail shot from the list screen would not work correctly.

33. | Previous page on pending list failed after performing a single mail shot.

When a reminder is performed, the last action date is set. This is how the system works out if its due, expired etc.
A small X will appear next to this, allowing you to either clear or modify this date if required. |

Version 3.034
This is a small maintenance update with a few tweaks / changes listed below based on user feedback over the last few days.
1. | Changed any empty 'reminder methods' to 'By Post'. The recent changes in GA meant that if a reminder method was not set, the reminder could not be sent. A new option was added via Admin > Setup wizard, allowing you to choose a default method when creating a new vehicle to assist with this.
|
2. | Re-Added the linked document number to both the old and new calendar systems, this was removed in error.
|
3. | Fixed an issue with the new calendar system on network systems, where it would show as 'record is in use'
|
4. | Changed the grid colours on the new calendar system so they are more visible.
|
5. | Fixed an issue with the new calendar system, where bays would not sort according to your settings
|
6. | Added a message on the print preview screen, with a link to download / update Adobe PDF Viewer.

Version 3.033
The following changes and additions have been made in Garage Assistant 3
A. Reminder System Changes:
1) | Reminders can now be sent by Email, Post AND SMS not just one or the other.
|
2) | You can now choose your own time when reminders are triggered, instead of the default 30 days for all, you can set for instance, 30 days for MOT, 7 days for Service, 14 days for Other etc.
|
3) | Reminder dates are no longer removed when a reminder is sent (if not set to reschedule)
|
4) | The old date remains in place but will be set as expired (automatically)
|
5) | Reminders expire automatically, so will not be included in mail-shots when they are not future dates
|
6) | This works behind the scenes with a last actioned date, so knows when a reminder has been sent.
|
7) | Reminder screen allows you to view expired lists
|
8) | Fixed : Reminder list screen now allows you to perform a single mailshot properly, rather than just print draft, it can now print / email / sms the reminder as it should be.
|
9) | Reminder dates shown on vehicle list screens now indicate when expired, or due to be sent
Expired = Red, In List to be Sent = Green
|
10) | If reminders are disabled, they will simply grey out and become italic.
|
11) | Changed : Date is no longer pre-set on reminder letters, it can be added manually instead for positioning.

12) | Fixed : SMS reminders would not show vehicle if a document was not on system for that vehicle.

13) | Improved auto set reminder when performing a Full MOT, so it works when current date is no longer valid, i.e reminded or expired.

B. Letter Template Changes:
1) | Templates have now been split into categories of Print or Email, as such, after importing your data, existing templates will be duplicated and marked appropriately.
This allows you to send a different format of letter by email, than you would by printing it. |
2) | Email templates now generate formatted HTML emails (as seen in xmas letter thread)
This allows you to insert up to 6 images inline, such as a letter head and some other graphics to make your emails nice and fancy. |
3) | You can also insert unlimited images from a website url, meaning no need to attach them. |
C. Emailing Changes:
Aside from the template changes, we have also changed how invoices, job sheet's and estimates are emailed. Instead of simply sending it immediately, you are now taken to the 'Send Email' screen with the document and advisor pdf files already attached and ready to send.
This allows you to add some extra information into the email, choose different templates, or add more attachments before you send it.
D. NEW Document Alerts:
You can now set an alert / notice against a document. This can be set to trigger when the document is viewed, when it is about to be issued or both.
You simply choose when to display it and enter a relevant message.
Depending on the display option chosen, the notice will popup on the screen automatically.
An indicator has been added to the top of all document screens to show if a notice is present / allow you to set one.
E. NEW Calendar System:
The new calendar system has been made available, although still as a beta.
You will be able to change back to the old one if you experience any issues.
The new calendar should mimic the existing calendar in most areas, however it is missing the 'all day' feature at the moment, so any appointments with no start / end time can only be viewed via the list or archive screens.
The new calendar should perform at least 10x faster than the existing system, making it quicker and more intuitive to use.
There are a number of new views available, such as a 7 day view showing all resources.
F. NEW: Appointment Reminders
You can now schedule a reminder against appointments.
When the reminder is due, no matter where you are in GA3, this will popup with your own custom message, including the time and date of the appointment.
Since you could be in the middle of something, there are no 'actions' available, such as view appointment, this could cause data issues, so will not be added as a feature.
You can however, dismiss or set it to snooze for a period of time.
To set a reminder, either edit or create an appointment and click the new 'Set Reminder' button.
G. Various other fixes / changes:

The expense system has undergone some intensive maintenance to allow new features to be introduced and to fix some existing issues.
During the update, supplier records will be created for some of your expenses.
